Run opening and closing checklists

Build checklists with temperature, number and photo steps and a due time, run them on a phone, sign them off, and see the history of every day.

Checklists help every shift open and close the same way, and show you who did what.

Create a checklist

  1. Go to Operations → Checklists.
  2. Click + New checklist.
  3. Name it, pick the brand, and set a Due by time if the list must be done by then.
  4. Add each step and choose its type: - Checkbox: a simple tick. - Number / temp: type a reading, like a fridge temperature. Set the allowed range and the unit. Readings outside it are flagged Out of range. - Photo: take or upload a photo, like the clean counter at close.
  5. Mark the steps that are required.
  6. Save it.

To change a checklist later, click Edit next to its name.

Run a checklist during a shift

  1. Go to Operations → Checklists.
  2. Pick your brand. Use the filter to show opening, closing or both.
  3. Tick each step, type each reading and add each photo as you go. The progress bar shows how much is done.
  4. When you're finished, click Sign off and type your name.

If a required step isn't done, you'll see which ones before you can sign off. Add a short note about any missed or out-of-range steps.

Check all… asks you to confirm each ticked step instead of ticking everything in one click. Click Reset to clear today's list and start again.

See the history

Click History to see each day's lists: who signed off and when, readings, photos, and anything missed or late.

Get an alert when a list is missed

If a list has a due time and isn't signed off by then, managers get an alert. Turn alerts on under Settings → Alerts & Reviews → Alerts.

Leave notes for the next shift

  1. Go to Operations → Shift Notes.
  2. Pick a type, like Shift note, Announcement, Heads-up or Maintenance.
  3. Type your note in Post a shift note or announcement…
  4. Turn on Pin to keep it at the top.
  5. Click Post.

Report a repair

  1. Go to Operations → Equipment & Repairs → Work orders.
  2. Click + New work order. Describe the problem and set the priority.
  3. Click Start when someone is working on it, then Mark done when it's fixed.

Under Operations → Equipment & Repairs → Equipment, you can add each machine with + New equipment and see when maintenance is due. Click ✓ Mark done after you finish a maintenance task. Closing a maintenance work order moves that machine's schedule on to the next date.

In Settings → Alerts & Reviews → Alerts, turn on Urgent work orders and Maintenance due to hear about them right away.
