Time clock, time off and shift swaps

Let staff clock in and out, ask for time off, set their availability and ask to swap or drop a shift, with a manager approving each request.

Everything here lives on People → Schedule, in the panel under the grid. Use the buttons above the grid to jump to it: Time off & availability, Swaps & drops or Time clock.

Clock in and out

  1. Go to People → Schedule and click Time clock.
  2. Click Clock in when your shift starts. You'll see You're clocked in.
  3. Click Clock out when you leave.

Staff see their own punches for the week. Made a mistake? Ask a manager to fix it. Managers can edit a punch, including an unpaid break in minutes, or click Add a missed punch.

Hours from the time clock sit next to the hours from your POS timecards on the Labor page. Ospelia doesn't run payroll.

Ask for time off

  1. Click Time off & availability, then Request time off.
  2. Pick the dates and add a reason if you like.
  3. Click Send request.

A manager clicks Approve or Deny. Approved time off shows on the schedule grid, and the person gets a warning if someone tries to schedule them that day.

Set your availability

On the Availability tab, click Add availability. Pick the days and hours, and choose Can't work or Prefers to work. The schedule shows it when a manager builds the week.

Swap or drop a shift

  1. Click Swaps & drops, then Ask for a swap or drop.
  2. Pick your shift, then choose what should happen: give it to a teammate, or drop it.
  3. Add why, then click Send to a manager.

A manager decides. They see the request with a count on the Swaps & drops button and click Approve or Deny. Shifts that come from Square have to be changed in Square.

Who can do what

Staff can clock in and out, ask for time off, set their availability and ask for swaps. Only managers and owners approve requests, edit punches and change shifts.
