Automate messages with Automations

Turn on quick automations like welcome and birthday emails with one switch, or build an automation with emails, texts, waits and yes/no checks.

Automations send the right message at the right moment, without you lifting a finger. Go to Marketing → Email & SMS → Automations. The page has two tabs: Automations and Quick automations.

Quick automations

Quick automations are single messages you turn on with one switch.

  1. Open the Quick automations tab.
  2. Browse the groups: New guests, Regulars & loyalty, Feedback & reviews and Occasions & follow-ups.
  3. Click Set up on the one you want, like Welcome new guests, Birthday treat or Ask for a review.
  4. Check the message, then use the switch to turn it on.

Each guest gets each automation only once within its cool-down period, so no one is flooded. Other options include Bring first-timers back, Thank a regular, We miss you, Win back an unhappy guest, Catering follow-up and Gift card reminder.

Build an automation

An automation can have several steps. For example, send a welcome email, wait three days, then check whether the guest has visited.

  1. On the Automations tab, click New automation.
  2. Pick a starting recipe, like Welcome series, Win back lapsed guests or Birthday treat. Or pick Start from scratch.
  3. Set what starts it, like a guest joining, a form, a payment or a date.
  4. Add steps: emails, texts, waits and yes/no checks. Drag a step into place, or click a spot in the flow and pick a step.
  5. Click Save.
  6. Turn it on when you're ready.

Click Pause to stop an automation for a while. On a phone, switch between the Steps, Flow and Edit views.

See how they're doing

The Automations page shows each one's status, how many guests are in it now, and how many started, finished and reached the goal. Click Open to see results for each message.

Good to know

  • Messages follow your sending rules, like quiet hours and the weekly message limit, set in Sending setup.
  • Guests imported from your POS without a consent record don't get marketing unless you choose to include them.
  • Each email and text counts toward your plan's monthly amounts. See Usage allowances: emails, texts and AI.
